Job description
General purpose:
Serves visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival. Attend to visitors and deal with inquiries on the phone and face to face. Responsible for running of the office (supplies/stationary/stocks/catering).
Duties:
1. Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
2. Directs visitors by maintaining employee and department directories; giving instructions.
3. Maintains office calendar by planning and scheduling conferences, teleconferences and travel; recording and monitoring court dates and filing requirements.
4. Maintains telecommunication/video conferencing system by following manufacturer’s instructions for house phone and boardroom/server.
5. Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs.
6. Maintains safe and clean office area by overseeing the office support.
7. Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
8.Maintains client confidence by keeping client information confidential.

Answer telephone, screen and direct calls
Take and relay messages
Provide information to callers
Greet persons entering organisation
Direct persons to correct destination
Deal with queries from the public and customers
Ensures knowledge of staff movements in and out of organisation
General administrative and clerical support
Receive and sort mail and deliveries
Schedule appointments and book boardrooms
Maintain appointment diary either manually or electronically
Organise meetings
Oversee the tidying and maintaining the office area
Requirements
Skills/qualifications:
Telephone skills, verbal communication, presentable, Microsoft Office skills, listening, professionalism, customer focus, organisation, informing others, handles pressure well.
